How to schedule a meeting for a future time

You can use Yuuguu to plan meetings with others in advance by using our 'Scheduled Meetings' feature. You set up a meeting to be started at a future date, and then tell the attendees how they can join in. Your future meeting can use any mix of instant messaging, screen sharing, remote control, Skype and audio conferencing.

When the time arrives to start your meeting, it's easy to start it - all you need is your host PIN.

Setting up a scheduled meeting

In the Yuuguu Desktop Client, you'll see there is a small arrow at the right hand side of the 'Web Share' button. Click this arrow to drop down a list of advanced options. Then click 'Schedule a Meeting' to bring up the scheduling wizard.

Step 1: Choose which features your meeting will have

The first page of the wizard lets you choose how attendees will join in, and how they will speak in your meeting:

  • Check Web Conference if you want attendees to join in using their web browser. If you uncheck this box, your attendees join in using the Yuuguu Desktop Client download.
  • Check Audio Conferencing if you want to speak together using telephones. There are two further options:
    • Check Local Dial-In Numbers if you want attendees to pay for their own calls
    • Check Toll Free Numbers if you want to pay for all calls

Step 2: Select where your attendees are located

The second page of the wizard lets you enter the places around the world where your attendees will be when your meeting starts. This helps us to choose the right telephone numbers to send them.

You can enter as many locations as you like. For each one:

  • Select the Country from the first drop-down list
  • Select the Region within that country from the second drop-down list
  • Click Add

The lower part of this page will build up a list of places you have entered

If you need to, you can remove a location from the list:

  • Click the location to remove in the list in the lower part of the page
  • Click Remove

Step 3: Review the summary before sending invites

The final page of the wizard lets you review your choices, and copy invitation details to your clipboard. You can then send this text to your attendees in your preferred way - perhaps in an email.

This page also gives you Your Host PIN. This is really important to note down, as you will need it to start your meeting when the time comes. It is also really important to keep it private. If you are paying for calls, your host PIN will be used for billing the audio conference.

  • Make a record of your Host PIN - and keep it private!
  • Review the details. Click 'Back' if they need changing.
  • Click copy to clipboard so that you can invite attendees to your meeting by simply pasting in the details
  • Click Finish to save your meeting details in Yuuguu's system, to start at the right time.

If you need to, you can click Cancel and the meeting will NOT be saved in Yuuguu.
